POSITION PURPOSE
The UW Medicine Neurosciences Institute is seeking a Grants and Contracts Manager. The primary purpose of this position is to provide comprehensive management and oversight of post-award administration for large research labs. This includes ensuring compliance with grant and contract terms, budgeting, financial analysis, reporting, and reconciliation. The role requires close collaboration with Principal Investigators (PIs), lab managers, and the post-award team to review expenses, allocate FTEs, and resolve discrepancies in a timely manner. Additionally, the position oversees the invoicing and payment processes for clinical trials, ensures the accuracy of signature authorities, and provides expert guidance on allowable costs and budgetary policies. The individual will serve as a liaison between faculty, funding agencies, and administrative units to facilitate effective post-award operations.

DUTIES AND RESPONSIBILITIES

Post Award Administration (Compliance, Budgeting, Analysis, Reporting and Reconciliation)

  • Independently manage post-award operations for large labs including frequent meetings with Principal Investigators (PIs) and lab managers to properly allocate FTEs, review lab expenses and make adjustments as needed.
  • Manage the effort certification process for faculty, semi-annually, and staff, quarterly. The process requires the review before the deadlines and answer FTE questions as they arise.
  • Work closely with the post-award team to resolve discrepancies in grants and contracts terms.
  • Oversee the clinical trials invoices/payments process to ensure all funds are received and reconcile in a timely manner.
  • Work with the post-award team to monitor the budget setup (ASRs/MODs) and closeout processes for all grants and contracts.
  • Responsible for ensuring accurate and up-to-date signature authority delegations, review and redirect expenditure allocations in accordance with appropriate policies and guidelines, train research staff on these topics.
  • Serve as an expert to faculty and staff on allowable costs on budgets from multiple sources; interpret existing budget policies for staff and other administrative personnel.
  • Consult with funding agencies regarding budget/fiscal matters and to resolve problems and/or obtain approval for deviation from authorized procedures or expenditures; advise and assist unit staff regarding budgetary policies and procedures.

    Pre-Award
  • Serve as point of contact for pre-award function with the Administrative Business Center (ABC) office including waivers, cost share and other compliant questions.
  • Participate in the initial meeting with the PIs and the ABC team for complex grant submission.
  • Coordinate with sponsors, Office of Sponsored Programs (OSP) and ABC to ensure successful submission
  • Review and negotiate budgets for the clinical trials as needed. This process involves working with the Principal Investigators and Research Coordinators.
  • Develop and maintain repository of bio sketches within each department

    Supervision
  • Manage the Grant and Contract Team
  • Develop and maintain metrics for pre and post award team

    Research Support and Other Duties as Assigned
  • Research space inventory (InVision)
  • Liaise with Environment Health and Safety for laboratory inspections and chemical list (MyChem)

    MINIMUM REQUIREMENTS
  • Bachelor's degree in Business, Accounting, Social Sciences, or related discipline
  • Four years of academic research related experience. Experience may substitute for the degree requirement.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS
  • Experience in grants and contracts management in an academic, research, non-profit, or hospital setting.
  • Excellent organization skills with strong attention to detail, problem solving skills, resourcefulness and flexibility to adjust to dynamic work situations.
  • Advanced skills with Microsoft Office Suite products - primarily Excel, Word, PowerPoint, Outlook.
  • Excellent written, verbal, and interpersonal communication skills.
  • Customer-service orientation, initiative, and responsiveness.
  • Self-starter with the ability to work independently, exercise good judgment, and make decisions as necessary.
  • Strong collaborative and leadership skills, team oriented, and consultative.
  • Demonstrative ability to work well under competing deadlines.

    DESIRED QUALIFICATIONS
  • Master's degree in business, health administration, or related field
  • Familiarity with UW systems and software programs, most notably Workday.
  • Five+ years of experience in grant and contract management in an academic, research, non-profit, or hospital setting
  • Prior experience overseeing clinical research, translational, and/or basic science research programs.
  • Prior experience in a central office setting - sponsored projects and/or grant and contract finance.
  • Prior experience designing, leading, and/or implementing process improvement initiatives.
